General information on the handling of personal data at PROFESSIO

In the context of seminar registrations, inquiries and orders - both via the website and in telephone, electronic (e.g. e-mails) or written form - you provide us with personal data, i.e. information about yourself such as name, address, telephone number or e-mail address, but also, for example, your location or IP address. Personal data always refers to an identified or identifiable natural person. We only store data that you provide to us voluntarily or automatically or data that we need from you to fulfill a contract. Unless otherwise specified in this statement, the guidelines explained in this section "General information on the handling of personal data at Professio" apply to this.

Data subjects are generally customers, interested parties and website visitors. The categories of data processed depend on the particular service requested or used.

Purpose of use of personal data

We use the personal data you provide to answer your inquiries, process your orders, provide you with access to information or offers, or to send you our newsletter and brochure. In addition, personal data is processed in order to provide you with our online offer, including its functions and content. Personal data is therefore processed to fulfill the requested service ("contract fulfillment"), after consent or to protect our own legitimate business interests (Art. 6 para. 1 lit. a, b, f). The legitimate business interests are specified for the respective areas (see subsections).

Use for specific purposes, transfer of data

We will collect, process and use the personal data provided by you exclusively for the purposes communicated to you. Your personal data will not be passed on to third parties without your necessary prior consent.

Collection of personal data as well as their transmission to state institutions and authorities entitled to receive information will only take place within the framework of the relevant laws or if we are obliged to do so by a court decision.

Confidentiality and security of data

In order to protect personal data from unauthorized access, loss, destruction and manipulation, we have taken technical and organizational security measures. We have also taken IT security into account. Among other things, the collection, processing and transmission of personal data via our website or our learning platform "Ilias" is always carried out in encrypted form. Details can be found in the section Encrypted transmission. The security measures are continuously revised and adapted in line with technological developments.

Data storage

In our many years of experience, we have found that queries about seminar bookings, offers, information or certificates of participation are still sent to us several years after the service has been completed. We therefore store all personal data that you send us in the context of inquiries, bookings, newsletter or brochure requests, quotation requests, etc. for ten years after our last active contact with you. With the 10-year period, we want to live up to our claim of high-quality service in connection with our services, comply with our legal obligations to retain documents, and at the same time implement deletion periods that ensure that your data is not stored with us for an unnecessarily long time. We ask for your understanding that in this context we can no longer provide data from services that are older than 10 years - unless you give us your explicit consent to do so.

 

Special information on inquiries and bookings of all kinds Contact and information inquiries, service inquiries, bookings of seminars or services and contractual services.

We store the data collected in the course of inquiries and bookings of all kinds (by telephone, e-mail, directly or personally, via the contact form on the website, etc.) in order to provide the services requested by you or to fulfill contracts concluded with us (Art. 6 Para. 1 lit. b DSGVO). This includes customer master data such as names or address and telephone data, contract data, payment data and usage data or metadata. You are affected here as a customer and interested party. Your data will not be passed on to third parties or disclosed to external parties without your express consent. In addition, we only store and process data that you provide to us voluntarily or automatically.

Coaching

In the context of seminars but also as an individual service, we offer coaching services. Here, we process special categories of data in accordance with Art. 9 (1) DSGVO. We process the data in accordance with Art. 6 Para. 1 lit. b DSGVO for the fulfillment of a coaching or seminar contract, whereby their scope, type and purpose are based on the individually agreed contract and are recorded there. Of course, we do not pass on this sensitive data either, unless we are obliged to do so due to legal regulations.

Special information on the processing of personal data on our website and learning platform as well as in electronic contact

Encrypted transmission

The Professio website (https://www.professio.de) as well as the learning platform (https://lms.professio.de) are SSL-encrypted throughout. The green lock in or next to the address bar indicates that all content is encrypted throughout. Third parties may still be able to see which pages you are visiting, but the content cannot be read. The data you enter there is protected from inspection by third parties.

Contact and information requests, seminar registration, newsletter

The use of our website is generally possible without providing personal data. If certain details of personal data are required (for example name, address or e-mail addresses), you will be explicitly informed of this at the time of collection. This is the case, for example, with the contact form, seminar registration and newsletter registration. We store the data sent to us in the context of inquiries and bookings via these forms in order to provide the services requested by you (Art. 6 para. 1 lit. b or newsletter see below). This data will not be passed on to third parties without your express consent. In addition, we only store and process data that you provide to us voluntarily or automatically.

The information you provide as part of the newsletter registration will be used exclusively for sending information mailings in newsletter format and will not be used for any other purpose and is based on Art. 6 para. 1 lit. a (consent). The registration for the newsletter is done in a double-op-in process, i.e. you confirm your registration made via our website once again in your email inbox before your registration data is actually forwarded to us. In order to be able to legally prove your registration, we log the time of your registration, the confirmation and the IP address. You can unsubscribe from our newsletter free of charge at any time in the future - for example, via the link at the end of each newsletter.

Processing of IP address, access data, log files

To use services on the Internet, you always disclose your IP address, which is processed by the web servers that deliver our web pages. Apart from this non-anonymized processing by the web servers, we use or store your IP address only in anonymized form.

When using this website, the following data is stored for organizational and technical reasons:

- Names of pages called up

- name of the browser used

- if applicable, the screen resolution

- name of your operating system, as well as the version, if applicable

- Date and time of access

- Amount of data transferred

- In case of successful retrieval: quantity

- Referrer URL, i.e. the name of the page that referred to ours. This can be, for example, the search engine used to reach our site.

- Names of downloaded files

- Your IP address in anonymized form (the last octet of the IP address is set to 0)

This technical data is usually stored only for a short period of time in case unauthorized access to the website needs to be resolved. We delete this data every day.

Use of social media plugins

On our pages, we offer privacy-friendly social media plugins based on a so-called "2-click version". This means that when you call up our pages, data is not automatically passed on to social networks (Facebook, Google, LinkedIn, Xing, Twitter). If you would like to use the Share or Like functions of the social networks, for example, you can do so by clicking on the slider next to the respective button. With this first click, you as a user activate the loading of the code of the social networks and thereby simultaneously give your consent for the transfer of your personal data to the social network - and with a second click, you can share targeted content from our site. For all data transmissions following this first and second click to the social network you clicked on, the social network is exclusively responsible.

Google Analytics, cookies

We use Google Analytics, a web analysis service provided by Google Inc, 1600 Amphitheatre Parkway, Mountain View, CA 94043, USA, to evaluate the use of the website and compile reports on website activities in order to further optimize our internet presence. It may therefore be that cookies from Google Analytics are stored on your computer when you use the website. Cookies are small text files that are sent to your browser by a web server and stored on your computer's hard drive. We use the IP anonymization function of Google Analytics, which means that the IP address is shortened before the information is transmitted to a Google server in the USA if you are located in a member state of the European Union or in other contracting states of the Agreement on the European Economic Area. The full IP address is only transmitted to a Google server in the USA in exceptional cases and only shortened there.

Use of Matomo (formerly Piwik)

(1) This website uses the web analytics service Matomo to analyze and regularly improve the use of our website. The statistics obtained allow us to improve our offer and make it more interesting for you as a user. The legal basis for the use of Matomo is Art. 6 para. 1 p. 1 lit. f DS-GVO.2

(2) Cookies are stored on your computer for this evaluation. The information collected in this way is stored by the responsible party exclusively on its server in Germany. You can set the evaluation by deleting existing cookies and preventing the storage of cookies. (3) This website uses Matomo with the extension "AnonymizeIP". This means that IP addresses are processed in abbreviated form, thus excluding the possibility of direct personal references. The IP address transmitted by your browser via Matomo will not be merged with other data collected by us.

Other

Transfer of personal data abroad

With the exception of the above-mentioned transfers in the context of the use of Google Maps and Google Fonts and the data categories described therein, we do not transfer any personal data abroad. The location of all servers operated and used by us is Germany.

Children and young people under 18

Persons under the age of 18 should not transmit any personal data to us without the consent of their parents or legal guardians. We do not request personal data from children and young people, do not collect it and do not pass it on to third parties.

Subject to change

We reserve the right to change the security and data protection measures at any time, especially if this becomes necessary due to technical developments. In these cases, we will also adapt the information on data protection accordingly. Therefore, please refer to the respective current version of this privacy policy.
